FREQUENTLY ASKED QUESTIONS

MIAMI PROFFESIONAL WEB DESIGN SERVICES

What are the payment terms for the design and development of my website?

50% down payment, 50% after the project is completed.

Are there any other costs for my website?

If you want something not covered by the plans, yes.For example, if you want some type of custom special development (a directory, a reservation module, integration with other programs, etc.) that will be quoted apart and if your project includes several developments we will make a better quote customized to your needs. Other services like special maintenance needs are also quoted aside and finally, if you want to add extra pages, more corporate emails, etc. it also has added costs. However, if your needs are within the plan specs, no, once you receive our budget (with detailed info about what’s covered) there are no hidden costs.

How long am I tied into a contract for the design and development of my website?

We have no contracts, after a year you can choose to renew with us if you feel satisfied with the service, the renewal includes hosting and the basic maintenance. If you want to change companies a week after your site goes live…it’s your choice! We’ll work hard so that won’t happen, but you can leave anytime you want.

If I ask for a quote, what happens next?

After you have filled our contact form or emailed us we’ll get in touch with you to have a small conversation so we can learn about your needs and your business. This way we can determine what services you need and counsel you on how we can help you with your project. If you called us, we’ll normally have this conversation in the same moment, depending on your availability. We’ll also ask for an email of contact. After this, we’ll send you a proposal through email. You can call anytime to ask further questions or discuss any doubt and if you like what we offer you and agree with the budget we’ll send you a contract and start working. No budget modifications will occur without your approval after this.

What happens after I decide to have my website built by Canaima Marketing?

First, we’ll send you a contract with detailed information about the services you are hiring. We ask a 50% down payment before starting the project, the other 50% is payed after the project is completed. We also need to receive the content from your side (basic info about the site structure, texts, etc.). Once we receive the information we’ll start working and present you the first view within 2 to 3 weeks. Depending on the project complexity this processes may take longer.

How should I supply the content for my website?

First, we’ll open a folder in our drive exclusively for you. Only the direct team involved with your project has access to this folder. Just as using Windows, you can create folders and organize your content easily this way. You can choose what to share: text documents, videos, photos, PDF, etc. The only requirement, generally, is that it has to be in a digital format (for example, writing it by hand and leaving it in our office is not the best way!) You can also send us emails, but please consider that heavy archives are hard to handle by email (for example, photos), in that case using the drive is the best option. If you want to share your own drive with us it’s okay!

I don't know what content should I put in my website, will you help?

Yes, we’ll help you! Of course, we’ll still need some basic information from you (like your story, what you do, your services…) but you don’t necessarily need to have a clear site structure, images, colors, etc. because we can help with that. Keep in mind that the more information we have (especially things like your target, what makes you different, the feeling you want your brand to have, websites you like, websites you don’t like, etc.) the better we can design your website.

Do you write the content for my site?

If you don’t know or don’t have the time to write all the content, we can help developing some basic ideas you may have about you or your business. You’ll be able to tweak things later over existing content, many of our clients find that easier than writing it all beforehand.

I don't have photos or visual content, will you help?

Yes, we’ll help you find stock photos/videos adequate for your brand. We try to keep our clients’ costs low, so we’ll choose primarily from royalty-free stocks. We may recommend you to purchase some stock photographs if we feel it may create a better result, however, we’ll always ask you beforehand and provide an optional royalty-free image as a second option.

Will I own the finished product?

Absolutely. Your domain, website, content, etc. is yours completely. If you want to change your hosting or want to change to another company we will provide full access to the website and aim to make the transition as easy as possible for you. It’s very important to us that you keep using our services because we fulfill your expectations, not because of some contract.

I don't live in Miami: can I use your services?

Sure! We have worked with clients in other states and even in other countries, this experience has allowed us to work efficiently with remote clients. We are aware that in these situations communication is important, so we’ll be always available and ready to give you the best support.

Will we need to have a face-to-face meeting to begin the project?

No, if you want to and are located near to our office we are always open to meet with you and discuss your project, however, we have extensive experience working remotely so it’s not necessary. In that case, we’ll contact you by phone, Skype, email, etc. as you prefer and adapt to your needs.

Do you provide training in using my website?

Yes. We customize your training to your needs so the training is as efficient as possible: we’ll show how to do the things you will normally do with your website. For example, if you have a store we’ll show you how to create a product, manage your orders, etc. If you have a blog, how to post and edit your entries, etc. Many of our clients don’t have specific doubts when the site is finished but they do later on, in that case, we’ll help when you need it and give support for a whole year after your site goes live.

Will I know enough to update the content in my website by myself?

If you know how to use Windows, you’ll know how to use your website control panel interface. There’s a learning curve depending on what you’ll be doing, but we’re here to help you, don’t worry!

If I decide I don't want to update my website myself, can Canaima Marketing do it for me?

The basic maintenance covers small changes like changing your logo. If you need a bigger change, of course, we can help you! In that case, you have two options: if you update your site sporadically, we’ll charge you each time depending on the work done. If you update your site frequently you may consider a maintenance service, we bill you monthly and help you manage your content/design. We do this for several clients and normally update their content the same day or the next day. For example, if you have a store and want us to make banners for you on a monthly basis to promote products on the homepage, etc. you’d be a candidate for a monthly maintenance service.

How long does it take to build a website?

It depends on the project, but our average websites are normally completely finished in about 1-2 month from the moment the clients contact us. In this time we’ll discuss your project, receive your content and start working. Once we have the content and the information we need, we take between 15-20 days to present you the first view. This first view will allow you to see the design direction and help you decide if you like it. Once approved we start the “feedback period”, when clients normally make changes and we fine tune all the details. Once that’s done the site goes public! The development time is strongly related to how fast the client provides us with the content and feedback.

Can you do it faster?

If the time frame is feasible, yes, we can work faster but it’d have an extra cost.

Can you integrate social widgets in my website?

Yes, and it won’t have an added cost. We won’t charge you for having basic functionalities like having a contact form, including a slider, etc.

I already have someone designing my site, can you use that design?

No problem!

Will my website work on mobile devices?

Yes, all of our websites are responsive and will adapt to the device screen you are using (mobile, tablets, desktop…)

Can you design my logo?

Yes, we are able to offer you full graphic design services, contact us and tell us what you need!

Can I modify my website design if I want?

The number of changes depends on the plan you have. In the Starter Plan, you can have many changes over the design we show you, but there’s no complete redesign. This normally is not a problem because we start with some templates and sites you already like and we’ll change the design until you like your website. In the Business Plan (and E-commerce Plans), you can have up to two (2) complete re-designs, meaning we’ll make another website from scratch if you don’t like the direction things are going. Please take into consideration that even if there’s no predefined limit of changes and our goal is making you happy, we won’t keep making changes to a design for three years, for example 😛 This has never happened before, thought! We’re as flexible as possible to accommodate your needs and for us is really important to build a website you love. If you like your website, our business goes well!

Are your websites SEO-friendly?

Yes, our websites are SEO friendly and we do the basic on-site SEO for you.

Are the websites of the Starter Plan uglier?

Well, we can’t define beauty, but no, the price is not based on that! The Starter Plan websites consider fewer hours dedicated to the design, this is why we ask you to choose from some template websites: we won’t just copy them but we have a base we know you like and we can work faster. We’ll try to incorporate things you like about other websites you show us and mixing it all we’ll create a website for you: not totally customized but it won’t look as generic as if you had no customizations over the template. They’are not uglier, they demand less time than a completely made from scratch design.

How far does the customization in the Starter Plan goes?

There’s no hard limit because the changes you want may take longer or shorter or be more or less complex to design/code. The Starter Plan considers less customization compared to the Business Plan, as long as you are sure that you want a more simple website (not uglier, just more simple in structure and design) and that’s okay for your business we have never had a client unhappy because we stopped doing modifications. If something takes a long time we’ll offer you an option and always try to satisfy you. If you see in the middle that you want more changes and a more customized design you can always choose to upgrade to the Business Plan and just pay the difference. If you are unsure you can show us some websites you want yours to look like and we’ll tell you if the Starter Plan is adequate for you.

How does the second language work?

If you want to have it we’ll create the “mirror” or second version to support your content in the other language. In the Starter Plan, we don’t translate the content for you, you send it to us and we update the content in the second language. You can pay extra to have us translate your content. In all the other plans the process is the same but we translate your content up to 1000 words from Spanish to English or vice versa. We can’t translate in other languages, but if you need another language -like German, for example- you can give us the translated content and we’ll update it for you.

How much is 1000 words?

In the typical settings (Times New Roman, size 12…) is about two pages of content. For a lot of our customers that will cover their content, normally a website doesn’t have that much content when you group it together. If you need more words translated, the price is 35$/500 words.

What is included in free support?

For example, if you wanted to add a paragraph or change an image, incorporate a banner, add a service, etc. we’ll do it. However, if a new service implies creating a new page and designing it, etc. it won’t be covered (vs. maybe just adding another item to a list). Many clients just need to update a blog entry (few times, the basic maintenance doesn’t cover publishing your content regularly; however we’ll show you how to do it), change some staff name, etc. We won’t charge you for small changes like that. Also, we’ll be at your disposition to help you with any doubt about using your website and give hosting support if you host your website with us.

What is not included in free support?

Big design changes are not included, for example, if you want to change the whole layout of a section, add a whole new page, etc. In those cases, we’ll charge by the hour (75$/h, minimum of one hour). Other changes that are not included comprehend designing marketing material such as banners. Imagine you have a clothing online store and you have a new collection and need four new banners for the main slider; that work will be charged separately. Also not included: general desktop computer assistance (how to install programs, how to modify PDF files, etc.), free business consulting and custom development (adding a store to your website, or a booking system for example, etc.)

What is an online catalog?

It’s an online store…without the cart. Who would need this? Many of our clients feel they have a lot of products and want to showcase them in an orderly way without selling them. The navigation of an e-commerce is the perfect solution. You can navigate through categories, see each individual item, etc. easily. Also, other clients have the perspective of starting an online business but are not prepared yet for selling. Upgrading to a complete online store is as easy as adding the cart and can be done in minutes.

What is the budget module and how does it work?

Instead of the cart, we can set up a budget module. The client can add the products they like to the ‘cart’ and once they’re done, they send you the “budget”. You receive an email with the products the client is interested in and their contact info. so you can follow the sell offline. For example, if you offer flooring services you can have the type of material as products (and others), ask the client the estimated surface, etc. and receive all that in an email. It’s an excellent way of creating the opportunity to make a selling.

What is a page and why are there so few?

Pages are independent sections in your website aside from the store, for example, Home, About Us, Spring Collection, Our Story, Contact, Social, Tips…whatever you may need. In a clothing store, you may have the store and categories and aside from this some lookbooks, your contact page, a page about the designer, or a feed with all of your social media, etc. Your menu can be your product categories, as many as you want, and these will be independent of the page number. For example, a menu like ‘Home, Tops, Bottoms, Shoes, Accessories, Makeup, Lookbook, The Designer, Contact’ will have four pages (Home, Lookbook, The Designer, Contact). Normally five extra pages for an online store is plenty.

Do you upload the products?

We upload up to 20 products for you. We can upload all of your products but it’ll have an extra cost.

How limited is the design in the online stores?

The design is as customized as in the Business Plan. We design the product archives, the product layout, etc. And of course, each page you need will have a unique design.

What is a CMS (Content Management System)?

The best way to explain it is understanding what it allows you to do: imagine you want to add a new product in your store or a new blog post. With a CMS you log in to your site control panel, go to the “Posts” or “Products” tab and click in “Create new”. The interface is user-friendly: you’ll know where to put the blog or product name, where to upload an image…and so forth. The exact process may change a bit with each CMS, however, the basic remains. How can you do the same without a CMS? Static websites are hard to maintain because changes imply direct manual changes over the files on the server and specific knowledge depending on what you want to change (like knowing HTML or MySQL, for example). As developers, CMS also allows us to develop faster and cheaper for our clients, while still being able to code whatever you want. They can be a bad option for really complex projects, in that case you may need a custom development, which is a lot pricier.

Will having my website built with a CMS like WordPress limit me in a any way?

If you can code it outside of WordPress, you can code it inside and for WordPress (same can be said for the other CMS). Booking and reservation systems, directories, events calendars, social media integration, etc. All of this and more can be done in every CMS we use. The limit of the CMS is the limit of the programmer behind. We know how to code.

Are all your websites and eCommerce systems secure?

Yes, no one can guarantee perfect security (if they do, they’re lying!) but we make the chances of being hacked really low using special security measures. If your website is hacked our hosting plan includes frequent backups so your website won’t be lost.

Do I get email addresses associated with my website?

Yes, you can have up to 10 email accounts in the Starter Plan and up to 20 in all the other plans.

Can you make my email signature?

Sure!

What are the payment terms for the hosting of my website

The price includes one-year hosting with us. After the year if you want to stay with us, you only have to pay 75$ once, no maintenance fees or other costs. Easy as that.

Can I use my own hosting?

No problem, however, please take into consideration that if any problem arises with your external server we are not obliged to give you a solution.

What happens to my domain name and/or email, if I cancel my service with you at any time?

The emails are linked to the server, so you’ll have to configure your emails in your new server. We’ll give you two months to migrate your website after you choose to cancel, after that it will be deleted from our server. Your emails will keep working until then. Your domain is yours and the only thing that changes is that you’ll have to manage the renewal it yourself.

How long do I have to migrate if I choose to change my hosting provider?

We’ll give you two months to migrate your website after you choose to cancel, after that it will be deleted from our server.

What if I want to use another hosting service?

No problem, you can use your own server.

What is a domain?

A domain is the unique name that identifies your website, something like “mydomain.com”. It’s the easy to remember version of your website IP. They are normally cheap -below 20$ range- and ideally, will have your brand name or service included.

Why do I need a hosting service?

Your website is a collection of documents: PHP, JS, CSS, HTML files. You may have a database to storage info, etc. You can have all of this documents and access to your website ‘offline’, however, if you want your website to be accessible 24/7 you need a space to save all of this and also one that can be accessed by anyone that makes a request to see those documents. That’s more or less what a hosting service is, it’s a space to save all the things you need so anyone who knows your domain can request access to the documents that are later rendered by the browser (like Chome or Firefox).

What is responsive design?

When your website is responsive it will look okay and will adapt to almost any device you can think of – say a smartphone, a tablet, a desktop, etc.

What is an SSL certificate?

Some websites -like stores- handle delicate information. SSL or Secure Sockets Layer is a protocol to add more security to the process of exchanging info between a computer network. This means that with an SSL certificate when your website handles information it’s done in a more secure way. Why is this important? You are not obliged by law to have an SSL certificate but browsers have recently started warning users when a website handles certain types of information and don’t have an SSL certificate. If you have an online store it can damage your reputation.

For example, a menu like ‘Home, Tops, Bottoms, Shoes, Accessories, Makeup, Lookbook, The Designer, Contact’ will have for pages (Home, Lookbook, The Designer, Contact). Normally five extra pages for an online store is plenty.

Many of our clients never directly update their sites, but they can do it if they want to. The important side of the story, however, is how can you do the same without a CMS? Static websites are hard to maintain because changes imply direct manual changes over the files on the server and specific knowledge depending on what you want to change (like knowing HTML or MySQL, for example). As developers, CMS also allows us to develop faster and cheaper for our clients, while still being able to code whatever you want.
